Privacy policy

This policy applies to Routekeepers (the “Platform”, “we”), the responsible party for your personal information under POPIA. Our Information Officer is reachable at legal@routekeepers.co.za.

Riders who create accounts, farmers who list their land, people who refer farmers to us, and visitors to our website.

From riders: your name and the identity document (and a selfie) you submit for verification; your email; your motorbike’s licence-disc and number-plate details; your bookings; a payment reference (we never store full card numbers); your incident history; and security logs such as login and device data.

From farmers: contact details, farm details, and banking details for payouts. From referrers: contact details, banking details when a fee is due, and a short note about the introduction.

To deliver the service, keep riders and farms safe, meet legal obligations, resolve disputes, and send you transactional email. We do not sell, rent, or trade your personal information, and we do not use it for advertising.

We share the minimum necessary with our processors — a payment processor, a cloud provider for email and storage (data hosted in South Africa), and an analytics provider — each under its own agreement.

We share the rider manifest (verified name and vehicle) with the farmer whose land you’ve booked. We disclose data to authorities only when legally compelled.

When you sign in we set one session cookie so the site can keep you signed in. POPIA exempts strictly-necessary cookies from consent, so it loads either way.

If you accept the cookie banner, we load analytics to understand how the site is used. Your IP is truncated before storage, and we never send your name or email to the analytics provider. Reject the banner and no analytics cookies are set.

When you submit a form (waitlist, listing request or referral), we also record how you reached us — the link, post or ad you arrived from — so we can see which channels work. This is stored alongside your submission, never shared, and only sent when you choose to submit.

You can withdraw consent at any time by clearing this site’s data in your browser — the banner will reappear — or by emailing legal@routekeepers.co.za. We use no advertising cookies today. If we enable a marketing pixel (for example Meta/Facebook) for a campaign, it is consent-gated — it loads only if you accept the banner — and we will update this notice.

We keep personal information only as long as needed for the purpose it was collected, or as the law requires — financial and identity-verification records for up to 7 years (SARS and POPIA), security logs for a short period. We delete or anonymise data when it’s no longer needed.

You can ask us to give you a copy of the information we hold about you, correct it, delete it (subject to the retention periods above), object to specific processing such as analytics, or provide it in a portable format. Email legal@routekeepers.co.za and we’ll respond within 30 days, free of charge.

If you believe we’ve mishandled your data, you can complain to the Information Regulator of South Africa at inforegulator.org.za.

You receive marketing email only if you opt in, and you can opt out at any time. Transactional email — booking confirmations, gate codes, account events — is required for the service and is not direct marketing.

The Platform is not for anyone under 18, and we don’t knowingly collect their personal information.

Our analytics provider processes some data outside South Africa, protected by contractual safeguards and encryption. POPIA permits such transfers where the recipient is bound by substantially equivalent protections.

We apply appropriate technical and organisational safeguards to protect your personal information, and we make the breach notifications POPIA requires if an incident occurs.
